Booking Terms & Conditions

Lifetime Deposit

To book on an Adventures in Paradise getaway, we require a non-refundable deposit of NZD $200 per person. While this deposit is non-refundable, it is fully transferable across all getaways and dates, and does not expire. We also require a valid credit card to be held against any outstanding balances. Your payment information will be securely stored in tokenised form.

Payment

The final balance for an Adventures in Paradise Getaway is due no later than 30 days before the start date. If a booking is made within this 30-day period, full payment is due at the time of booking. 

Single occupancy supplement

All of our accommodation options are based in double occupancy. Guests wishing to book accommodation on a single occupancy basis will be required to pay a single occupancy supplement. This is calculated and added to your account at the time of booking when the single occupancy option is selected.

Transport

Transport to and from Queenstown is included with all our Getaways, however guests may also choose to self-drive.

The transport service is complimentary and it’s not interchangeable for other add-ons or credits.

Eligibility

We require all bookings to be made by an adult of at least 18 years of age. All minors under 18 years must be accompanied by an adult on the Adventures in Paradise experience. Due to the natural risks associated with the outdoors, all Adventures in Paradise guests must be at least 12 years old as of the date their Getaway starts.

Health and Safety

We require all guests to disclose any fitness or health limitations that may affect their wellness or ability to feel comfortable participating in their Adventure in Paradise activities. Guests also agree to read all pre-departure materials about training, medical requirements and necessary gear. Please inform your Adventures in Paradise Getaway Specialist of any dietary requirements prior to your arrival.

All guests are required to inform the Adventures in Paradise team if you feel any symptoms related to COVID-19 whether within 14 days of arrival or during your stay with us.

Cancellation Policy

A cancellation will only be considered effective once the Adventures in Paradise team has received a notification of cancellation via email.

- Cancellations more than 30 days before the trip’s departure date will receive a full refund, less the Lifetime Deposit of $200. While the Lifetime Deposit is non-refundable, it is fully transferable across all getaways and future dates, and does not expire.

- Cancellations made within 30 to14 days of the trip’s departure date will incur a cancellation fee of 10% of the booking total.

- Cancellations made within 14 to 2 days of the trip’s departure date will incur a cancellation fee of 50% of the booking total.

- Cancellations made within 48 hours of the trip’s departure date will receive no refund.

COVID-19 cancellation policy

The safety and well-being of our guests is important to us. As such, we will work closely with all guests allowing for flexibility while being reasonable with alternative dates and arrangements.

In circumstances where the cancellation is due to a COVID-19 enforced travel restriction, and we are unable to operate the Getaways as planned, or the ability to travel is affected, the following policies apply:

- Cancellations more than 7 days before the trip’s departure date will receive a full refund, less the Lifetime Deposit of $200.

- Cancellations made within 7 to 2 days of the trip’s departure date will receive no refund, but their full booking’s amount will be transferrable to a future date.

- Cancellations made within 48 hours of the trip’s departure date will receive no refund, but their full booking’s amount will be transferrable to a future date, less a 10% cancellation fee.

This also applies to guests who are displaying COVID-19 related symptoms and whose presence at one of our Getaways would not be advisable.

Adventures in Paradise is not responsible for any incidental expenses that guests may have incurred as a result of booking, including but not limited to travel insurance excess, non-refundable flights or visas, and any costs incurred leading into any Getaways.

Cancellation by Adventures in Paradise

Adventures in Paradise reserves the right to cancel any getaway up to 30 days before the departure if minimum booking numbers for that date are not met. On this occasion, guests can either transfer payment to a future departure, or we will explore creating a bespoke experience on that date. In circumstances where the cancellation is due to events outside of our control, such as natural disasters or pandemics and we are unable to operate the program as planned, we will issue a refund less any unrecoverable costs. Adventures in Paradise is not responsible for any incidental expenses that guests may have incurred as a result of booking, including but not limited to travel insurance excess, non-refundable flights or visas.

On occasion, an activity must be cancelled due to weather. If we are unable to arrange this activity for another time, no refunds will be given. Your guide will arrange an excellent alternative and discuss this with you beforehand.Adventures in Paradise reserve the right to alter any part of a program at our absolute discretion. Similarly, no refunds will be given for any missed or unused services such as accommodation, activities or meals.

We strongly recommend guests arrange travel insurance to cover any cancellation fees.

Camp Glenorchy Facility Use Policies

All Adventures in Paradise (AIP) Getaways have their base at Camp Glenorchy Eco Retreat. All AIP participants agree to abide by the following Camp Glenorchy Eco Retreat accommodation terms and conditions. The Camp Glenorchy team asks that guests respect all our conditions of entry.

Registration,Check-in and Check-out

All AIP guests will be managed by your personal AIP guide including the registration and transport to and from Camp Glenorchy. If guest’s arrivals or departures are occurring outside of the Getaway’s scheduled times, this should be communicated to the AIP guides in advance.

Accommodation Check-in is no earlier than 2:00 PM and check-out is no later than 10:00 AM unless otherwise arranged with your AIP guide. Departure times may be extended if scheduling permits.

RoomKey Replacement

Any unreturned, misplaced or lost room keys may incur a $25.00 NZD replacement charge.

Smoking

Camp Glenorchy is a completely non-smoking environment. A $500.00 NZD fee will be incurred each time, where there is evidence (physical or olfactory) that smoking has occurred within the premises. This includes any open flames, e-cigarette or vaping devices, inside the accommodation and facilities.

IllegalDrugs

Illegal drugs are prohibited on any Camp Glenorchy facilities or premises. An illegal drug is any drug that is illegal under New Zealand Law. The New Zealand Police will manage all situations where there is evidence (physical or olfactory) that any illegal drugs connected with an AIP guest, are present on any CampGlenorchy premises.

Alcohol

AllCamp Glenorchy premises are guided by the Sale and Supply of Alcohol Act 2012 and regulatory guidelines that dictate the consumption of Alcohol on our premises. Guests at Camp Glenorchy agree to abide by New Zealand laws that control the consumption of alcohol on public and private properties including on all Camp Glenorchy premises.

Sustainability

Camp Glenorchy is an eco-retreat that adheres to a high standard of practice around recycling, waste management and energy efficiency. All guests of Camp Glenorchy agree to follow the guidelines and accommodation conditions that enable the eco retreat to operate efficiently and maintain minimum standards of operation.

Damage and Disruption

All AIP guests agree to not permit any damage/debris on or to any facilities, and/or engage in any activity of any kind which is unlawful, or which constitutes a nuisance or disturbs the quiet enjoyment by anyone on or adjacent to all Camp Glenorchy premises.

This includes but is not limited to the use of the Camp Glenorchy Scheelite Shelter fireplace and other common spaces. All AIP guests acknowledge and agree that there may be other Camp Glenorchy visitors external to Adventures in Paradise on-site during their stay.

All AIP guests agree to all Camp Glenorchy for any operational costs and expenses incurred to repair or restore the facilities and property arising directly or indirectly from your use of the facilities, including cleaning, replacement or removal fees incurred during your stay.

In any event where fees are incurred during your stay, all Adventures In Paradise guests agree that these will be charged to the credit card on file for guest rooms.

Liability

Adventures in Paradise does not accept any responsibility or liability for acts of omission or misrepresentation by third parties that may prevent or disrupt a guest’s booking. All information and descriptions listed on any and all The Headwaters owned websites are believed to be accurate and are offered in good faith. On occasion and due to circumstances beyond our control, certain features or facilities may not be available and for this we accept no liability. In addition, Adventures in Paradise does not accept liability for any injury, loss or damage to the guest or their possessions, any member of the guest's party or any visitor with the party, arising out of or in connection with the use of Camp Glenorchy.

Agreement

All guests agree to be bound by Adventures in Paradise and Camp Glenorchy terms and conditions by paying the deposit and confirming their booking, either directly or through a booking agent. If booked through an agent, all guests are required to authorise the release of their credit card details and in doing so, authorise Adventures in Paradise and Camp Glenorchy to charge guests’ credit cards for additional costs incurred during their stay, as previously stated in this agreement.

Adventures in Paradise acknowledges the privacy and data protection obligations we owe our guests as expressed in our Privacy Policy.

Declaration

I have carefully read the terms and conditions. I acknowledge that there are certain risks and dangers involved in an experience of this nature. I am voluntarily participating in this Adventures in Paradise getaway with knowledge of the dangers involved and hereby agree to assume all and any risks. I therefore release and discharge Adventures in Paradise and the wider Headwaters team from liability for bodily injury, death, property damage or theft arising from my participation in the trip. I enter into this release of liability on behalf of myself, and those members of my family who are under 18. I certify that I am the parent or guardian of any such minors.
